SLMS End User Help

The end user help is displayed in a ToolBook modal dialog:

Administration
From the Administration dialog the administrator may set various global options and perform various maintenance functions.
Bookmarking:
The system will allow students to set up to 10 bookmarks, after the 10th bookmark the oldest bookmark is removed. Bookmarks are maintained in order of newest to oldest from top to bottom respectively. The system will maintain only one bookmark for a given page, so if a page is bookmarked that has already been bookmarked then the bookmark is simply moved to the top of the list.
Note that some pages may not allow bookmarking. e.g. Question pages in a quiz.

Available options are:
Bookmarking On When checked students may set bookmarks, if unchecked then “Bookmark On Exit” and Last Visited Page” are both disabled.
Bookmark On Exit When checked the student will be asked if they would like to bookmark the current page, if unchecked then “Last Visited Page” is unchecked.
Last Visited Page When checked the current page details are saved and the student will have the option of returning to the page when they next login, if unchecked then “Bookmark On Exit” is unchecked.
User Options:
Self Registration When checked any student may log into the system by creating a new student, when unchecked only administration users may create new students.
Clear Logged On Flag When a student logs, on a flag is set to ensure that another person cannot log on using the same details as the student already logged on. When a student exits the application the flag is cleared. However, if the student simply turns off the PC or the computer crashes for whatever reason then the flag would not be cleared; in other words, the computer thinks that the learner is still on the training program and it will not let the learner back into the program until the flag is cleared. By checking this option, if a flag that has been set for a given student is not cleared, when they logon again they will be asked if it’s OK to clear the flag.
Important note about timing out: The system tracks any learner activity such as button clicks and when a student navigates from one page to another page and if there has been no activity in five mins. then the system assumes the student is not active and automatically logs him/her out. It is recommended that this setting always be checked unless there is concern that another user might maliciously try to login as the current user, essentially bumping the real user off of the system. This would require that the malicious user have the password of the real user.
Maintenance functions:
Maintain Users When clicked the student login dialog will open allowing the administrator to create new students, maintain passwords, delete students and assign administration rights to students.

The administrator can also Login As another student, which allows the administrator to add courses to that student or review test scores for that particular student. When logging in as another student, that logged in as student will temporarily be an administrator. The system will now be set for the student and all log details will be maintained for the student and not for the administrator. Therefore, it’s important for the administrator to assume his/her own identity ASAP by following the same process except selecting him/herself as the Login As …
Clear Logged on Flags When clicked this will clear all logged on flags for all students, this maybe necessary if the connection to the server is lost and students need to login again. If the “Clear Logged on Flags” option is checked in the user options, then there will not be a need for the administrator to clear logged on flags.
Backup Database When clicked the administrator will be able to backup the student database.
Detailed User Logs When clicked the log reader dialog will open allowing the administrator to view the logs for a given student or multiple students – see the detailed help for the log reader.
Log Summary When clicked a log summary dialog will open, from here the administrator can select a given log file to view. This will provide the administrator with student training records including test scores.
Student Activity When clicked a Student Activity dialog will open, from here the administrator can see who is currently logged on. This function is only relevant with network versions.
2. Student Login dialog

Select your name from the list of students. You may type you last name in the “Last Name” field and the list will scroll to your name. Once you have selected your name from the list and entered your password, click the OK button to enter the application. If you wish to change your password first select your name and enter in your existing password. Then click the “Change” button, an you will be asked to enter your new password.
If you have forgotten your password please contact your administrator. If you are not in the list of students and if your administrator has set up the system so that you can self-register, click the “New User” button to add yourself to the list of students.

3. New Student Record Dialog

Enter the student details – Last Name, First Name, Middle Initial and Password.
Note that the Administrator check box is only available when an administrator is logged on and adding new students via the Maintain Students option from the Admin dialog.
The system will check to ensure that a student with the same name has not already been created before creating a new record.

4. Change Password Dialog

Enter the New Password and re-enter the same password in the Confirm Password field, click the OK button to update the student’s record.

5. Notes Dialog

This will allow you to maintain your notes for the entire application. Notes are not kept for individual pages, there is just one notepad per student so information gets added to the notes as the user goes through the course.
The button bar at the top of this dialog are:
Insert Dets. – when clicked the current page details are inserted into your notes at the current cursor location on the notepad, see below for what the “page details” are.
Clear Notes – when clicked your notes will be cleared. Be very careful using this function as it will delete ALL of the notes for the student.
Bookmark – when clicked the current page will be bookmarked. Not all pages can be bookmarked so this button will be enabled if the current page can be bookmarked.
Copy Notes – when clicked the notes are copied to your clipboard and you can then paste the notes into a Word document, e-mail, etc..
Print Notes – when clicked you will able to print the notes to your default printer or select Printer Setup to choose a different printer.
Current Page Details – these appear under the button bar and provide the application name, page name and page title.
Notes field – free form text may be entered in this field, you may paste text from your clipboard, however the text will be pasted as plain text without any special formatting.
You must click the OK button for any changes to your notes to be saved!

6. Go to bookmarked page dialog

This dialog will display your last 10 bookmarks, to go to a page that has been bookmarked you first need to select the bookmark and click the “OK” button.

7. Summary Log Details dialog

This function is only available to administrators. The Log Summary Details will display a summary of all student log details.
Student Name – displays the student name, not that this is repeated for each application for the give student.
App. Name – displays the application name – each ToolBook is considered an application.
Start Date – displays the date that the student first launched the application.
Last Date – displays the date the student last launched the application.
Competed Date – displays the date that the student completed the application.
Score – displays the score as a percentage if the application included a quiz.
Export button – when clicked a SummaryLog.csv file is created in the UserLogs folder. The csv file can be viewed using Excel or imported into a database.
Detailed User Log button – when clicked the log reader dialog is opened and pre-loaded with the currently selected records details. This button is enabled when you select a line from the summary list.

8. Student Activity dialog

This will display a summary of details on all registered students.
All Students – when checked the list will include all students, even if they have not as yet started an application.
Student Name – displays the student name, not that this is repeated for each application for the give student.
Admin. – displays Yes if the student is an administrator.
BMs – displays the number of bookmarks the student has.
Notes – displays Yes if the student has any notes.
Logged On – displays the time and date any currently logged on students actually logged on to the system. If you have selected "All Students" then this cell will be blank for students who are not currently logged on. This is helpful in determining who is currently using the system.
Activity – displays the most recent time and date the student had was in the system. If this cell is blank then the student has never logged in. Use this data to determine the last time a given student logged out.
Export button – when clicked a StudentActivity.csv file is created in the StudentLogs folder. The csv file can be viewed using Excel or imported into a database.
